Executive Committee Meeting Minutes
February 17, 2009
Meeting began at 7:04 p.m. in Greenville, DE
Attending Dave Dabell, Scott Clabaugh, Carl Thompson, Mark Weining, Bruce Grassano, Sam Dali, Nick Dunlop, Jon Walton, Vince Crognale, Anthony Guzzo, Bob Bloser, Paul Eves, and John Reader.
Minutes The minutes from January were approved with a correction to the newsletter ad for printing. It’s a half page not a full page.
Finance The Delaware franchise fee has been paid for 2007 and 2008. The agent for the club has changed from Steve Timmons to Nick Dunlop. The tax exemption filing is waiting for the 2008 financial report from Stover. A deposit of $10,980 has been sent to Thunderbolt Raceway for the October DE event. After he receives the finacial reports from Stover, Bob will generate a general income and expenses report minus track events to give a feel for how the club is doing financially.
There is $600 left over from Enthusiast day that is being held in escrow for charitable events.
October DE Jon presented a detailed proposal for the October DE that should result in a fun, safe, and educational event that should return greater than $5,000 to the club.
Auto Cross Dave announced that our first event will be April 19th. There was $600 in profits last year that were shared between PCA and BMC.
Braille Rally Scott gave an update on the Braille rally. BMC will set up the course. There is a $250 budget for pizza and soda. There will be awards for each navigator and plaques for 1st, 2nd, and 3rd. Winner Porsche will donate $500 for tee shirts and there is $300 from Enthusiast Day. These donations along with others may cover the expenses for the rally, so the club may donate a needed scanner-fax-printer to the Delaware Association for the Blind as our charitable contribution. Scott needs volunteers for food, a chase car and extra drivers.
PA System The club needs a public address system for indoor/outdoor use at track and other events. Dave will look into systems that cost around $300. Scott will check with Renee to see if she no longer has a need for her bullhorn.
Social Events There are several social events in the near future. The Hershey swap meet, Cap May, the picnic at Will Pyle’s, Wings and Wheels, the New Member Social, TGI Friday, Blue & Gold, and a Dover car show on the 21st. The New Member Social date is waiting for input from Winner.
There are no club night speakers so far. Nick will ask the Zone 2 representative to talk at one of our meetings. Vince will contact Donahue about a presentation.
Newsletter Several people were asked to submit newsletter articles. Jon on DE, Dave on autocross, Scott on the Braille Rally, Paul on Hershey and another on the Cape May trip. Mark suggested an expanded events list be added to the newsletter.
Flickr Nick would like members to submit photos of their cars for our Flickr account.
Holiday Party Paul brought a proposal for the Hilton at Christiana as the site for the Holiday party. After a later email vote it was decided that the holiday party will be at the Mendenhall Inn and will include either a DJ or a band.
