Executive Committee Meeting Minutes
August 18, 2009
The meeting began at 7:06 p.m. at the Clarion Hotel The Belle in New Castle, DE.
Attending Anthony Guzzo, Bob Bloser, Mark Weining, Tom Holmes, Scott Clabaugh, Dave Dabell, A. K. Kissell, Sam Dali, Bruce Grassano, Nick Dunlop, and John Reader.
Minutes The minutes from July were approved.
Finance Bob is not ready for an audit yet, the records are not organized properly. The money market account now has $29,007 and the checking balance is $10,710.
October DE Nick gave us an update. We need instructors, there are other events the weekends before and after ours and it is difficult to get instructors. Winner said no to helping financially, but there is still hope that they may bring a Panamera to the event. 75 people have signed up and we have $18,200 in deposits. We need about 130 to 135 to break even and at least 105 to minimize our losses. We have until September 9th to cancel the event and even then we will loose the $11,000 deposit on the track.
Autocross Dave gave us a summary of the autocross last weekend. There were 21 Porsches and he did quite well. The old Blue Hen Mall parking lot in Dover is available for a $300 fee. It is about twice as big as the present location. Unfortunately there are several businesses near by that would be open during an event so crowd control would be necessary. Also we would need about 20 cars to break even. The general consensus is to continue with the present location at this time.
50th Logo Nick showed us a combination of the suggested logos with a 5 added to the present logo. There was a suggestions to add a red accent around the whole thing and another to add the dates at the bottom. I volunteered to talk my brother, a graphic designer, into seeing what he could do with it. Nick showed us a calendar that will be a gift to each couple attending the holiday party. He would like to have the 50th logo for the calendar.
After the meeting Nick got Edward Moore and Vince Crognale to help select images for the calendar.
Nominating Committee Mark and Tom volunteered.
Zone 2 At direction from national, zone 2 is working on a charter which will protect the regions from liabilities that are incurred by zone 2. It will still allow the zone to run events and share profits with the regions.
Club Night There was a discussion of the price of the food supplied by the Clarion on club nights. $10 plus gratuity of 18% seems high, Carl is tasked with finding out what we can get for $5 to $6 each and see if they have any recommendations.
Holiday Party Nick will do the trophies. Budgets: $100 for the raffle, $100 for the bar tender, $500 for the disk jockey, The proposed food will cost $44.95, we decided to charge $40 each and have the club make up the rest. Bruce and Vince will select the menu.
Newsletter Mart items will be due the same time as articles. Bob went over the list of articles that need updates. Nick will sort it all out.
