August 21
Exec Mtg.—Jon’s Office
Present: Mark, Nick, Bruce, Vince, Anthony, Pam, Bob, Jon, Stover, Jane
Thanks to Mark for supplying the first several items of the meeting.
1. Mark recognized Nick for the nice article submitted and published in
the Aug Pano about AK Kissell's tractors and his presentation at our
monthly meeting and summer picnic.
2. PCA National Headquarters is having an open house Sept 23. Since Sept
is already full of activities Nick suggested we look into doing a drive and
tour of the facility at some point in the future. Might be able to meet up
with folks from the southern portion of the region on the way down.
3. Folks doing recruiting in southern portion of the region need a supply
of the Del PCA info/business cards for distributing to potential members.
ACTION: Carl to provide some to Stover and or send down to the folks
directly. Get details from Stover. Also, bring some to the next meeting
so folks up here can restock.
4. Would be good to start distributing the window stickers again. Jon has
the supply. ACTION: Jon to bring to next meeting and give some to Stover
for distribution down south.
5. Financials are in great shape. Income continues to exceed expenses an
we are on target for having the needed reserves to adequately support the
start-up costs and risks of running a Driver Ed event.
6. ACTION: Stover to prepare a summary showing our nominal operating
expenses and income, excluding charity events and donations and excluding
driving events and related income. Might look something like the following
for a nominal year:
Income:
newsletter
dues
Expense
newsletter
all other
Delta
newsletter income - expense
dues - all other
Total
7. Invoices have gone out to all advertisers. So far payments have been
rec'd form about 50% of them. Stover and others to follow-up on other 50%.
We have lost Alpine as an advertiser. ACTION: Jon to follow-up with
Johnny Dents (they were at the Dyno day) to offer them a free month of
advertising as a Thank You for supporting the event. Jon will also pursue
getting them to then continue to advertise on a monthly basis.
8. ACTION: Jon to also check with Johnny Dents about doing a demo at a
future meeting. And if this could some how be done indoors. Possible free advertising in newsletter for a month or so if he would come.
9.Kinkos: Newsletter would have better format, less cost, less work for Bob. It would be folded rather than stapled. All agreed to try for a month.
10. Need expressed for photo editor. Anthony had idea for photo gallery. Will look into this.
11.Southern Delaware: Stover—next mtg. Sept. 20, or 21; has assigned “deputies” to contact members of southern region. Talked about possible winter meeting at Overture simulcast at Southern and 202 stores same night.
12.Membership is reported at 221. Carl will be planning a reception for new members @ Winner this fall.
13. Polo event: Bruce—15 cars have signed up. Good weather is forecast. The location for the Christmas Party can be the previous one or perhaps Mendenhall Inn. All were very interested in Mendenhall. Vince and Bruce will talk after mtg.
14.Dyno day: Jon—12 cars were dynoed; $2100 was raised for charity, and Jon will approach Winner to kick in some $$ also for charity.
15. RennsportIII-Daytona: Vince—several members are going, some by air, but there have been different quotes on the hotel rates. Dinner too difficult to sign up for.
16. Thunderbolt: Mark—date request submittal will be made for Thunderbolt with a check of $5000. First request will be Sept. ’08.
