2007 Planning Session Notes

December 19, 2006

Welcomes / new roles

- Bruce Grassano – Social Chair

- Scott McKeown – Track (HPDC & Driving School) (& meeting speakers until replacement found)

- Scott Clabaugh – Braille Rally (once again)

- Chris Walton – AutoX Chair (1str meeting in a long time)

December Events:  Holiday Party and Toy Drive

Participation at both events was very good

 

Toy drive for the Boys & Girls Club of Delaware

- Several members brought their children, who helped pass out gifts and some even spent time playing with the children from the Boy & Girls Club, making the event even more rewarding

- This year, in addition to toys and books for the children we purchased a hockey table & ping-pong table for use by all the children at the facility.  Assembly was quite a challenge!

- The Boy & Girls Club was very appreciative of all the gifts

 

Holiday Party

- Majority of the attendees were happy with the menu and the manner in which meal was served

- Chinese auction was enjoyed, as was “steal a gift”

- Don & Judy Boyle should be invited as Santa Claus next year

- Prescott Kelley was suggested as a speaker for a meeting in 2007, and also invite to Holiday Party

 

 

Old Business

- AK wrote a beautiful letter to the Mennonite Central Comm. Amish School Recovery Fund.  Expressed the organizations we contributed to, and our desire as a club to contribute to their Recovery Fund.  AK was resourceful in using our logo and photos in the letter.

 

Survey Results

- Response so far has been very low.  Not enough data to draw many meaningful conclusions.

- Discussed suggestions for how to get more input – include in Jan newsletter, send out another e-mail, distribute at Jan meeting for members to complete during the meeting

- Tech sessions and socials were positive

 

Financial (review) Stover went over statement

- Total revenue in 2006 was almost $15,000 (including fee’s members paid to attend the summer picnic, the crab feast and the holiday party and our share of VIR track event).

- Currently (as of 12/19/06) net profits have been approximately $5,000.  Our growth has increased over last year.

- It was agreed that money should be used to support the goals of the club

 

Objectives for 2007 – a few identified so far

            Increase membership to 200

                        Reduce attrition (% to be agreed to at Jan Exec Mtg per MEW after meeting)

            Increase activity for members in southern portion of region

            Evaluate options for co-hosting DE with another event

            Hold a HPDC (with Chesapeake most likely)

            Others to be determined after more surveys are rec’d

 

 

Membership (Carl) – focus activities to help achieve some of the above goals

- Phone calling program by membership chair and mentors to help get new to feel welcome and get more involved and active:  find out interests and connect them to person(s) in club with similar interests

- New member social to be held in spring and fall again this year

- Consider incorporating tech session for VIR with new member social at Winner!  Possibly use Gregg or Will.  Cris Brady brought up liability concerns WINNER might have.

- Mark to check with Gregg to see if he would be available and get insights on any liability concerns.

 

- Downstate meeting suggested, possibly on a Saturday and possibly with spouses invited — consider holding board meeting. First followed by a general meeting that includes members of the southern portion of the region.  Suggest we check with John Kelly, Chip Clap &/or Joel Wahlsten to serve as regional coordinators.

 

 

Upcoming events

 

Deadline for articles for newsletter is Dec 26.

If you have any contacts for publications such as the community news, newspaper, etc. through your network (work, neighborhood, etc.) let the club board know

 

Zone 2 VIR March 16,17,18

- Sign-up for Zone 2 VIR opens Jan 8th

- Zone 2 has not rec’d contract yet, however has been advised track fees will be up 25% over 2006

- Mark has been involved with Jim Becker on early coordination and organization of event

- Jon Walton will represent our Region by heading the Lodging and Hospitality effort again this year and will be seeking help from members for assistance as needed

- Tom Bobbitt will be Chief Instr and Tom Holmes (from our region) will most likely repeat as classroom instructor (he rec’d lot’s of positive comments last year and has been requested back).

 

Autocross – Chris Walton to lead again this year.  Season typically gets started as early as Feb.  He will leverage off of events hosted by Chesapeake PCA, area SCCA events and any other organizations that hold events.

 

Karting – Due to the National Insurance policy we cannot hold conduct karting events.  However we can have tours to karting facilities and hold meeting in their conference room.  We must make it very clear to all members that any karting activity after the tour or meeting is not a PCA activity.

 

Braille Rally – Scott Clabaugh to lead again this year.  Date typically set in Aug. for early Oct.  Scott will try to firm up the October date earlier than Aug to help minimize conflicts.

 

General Meetings

- Jan. 10 will be @ Matildas – Scott McKeown has lined up GB @ Your Service to be the speaker.  They will highlight their auto detailing service.

- Feb – Since the 2nd Wed fall on Valentines day we will look holding a Breakfast Meeting on Sat. Feb. 17.  Nick will look for possible locations and make announcement in the Jan newsletter.

-          March 14th general meeting at Newark Country Club.
